This article explains how to configure file upload fields for the submission form

Add submission file upload fields

To add new file upload fields, chairs should

(1) Access the configuration by selecting menu tabs "Administration -> Configure"
(2) click to edit the option "File upload fields in the submission form"
(3) click on "Add a new field" in the context menu

Chairs can add, modify or disable file upload fields at any time.

Update submission file upload field

To update a file upload field, chairs should

  1. Access the configuration by selecting menu tabs "Administration -> Configure"
  2. click to edit the option "File upload fields in the submission form"
  3. click on the "Edit" icon against the field you would like to update

Delete submission file upload field

To delete a file upload fields, chairs should

(1) access the configuration by selecting menu tabs "Administration -> Configure"
(2) click to edit the option "File upload fields in the submission form"
(3) click on "Delete a field" in the context menu

Chairs can also disable a file upload field instead of deleting it. When a file upload field is disabled, authors will be unable to update files.

Visibility of submission file upload fields for reviewers

Chairs can change the visibility of file upload fields for reviewers.

To do so:

  • Access the configuration by selecting menu tabs "Administration -> Configure"
  • click to edit the option "File upload fields in the submission form"
  • click on the "Edit" cell against the file upload field

Chairs will have the following choices:

  • uploaded files can be viewed by all program committee members
  • uploaded files can only be viewed by chairs
  • uploaded files can only be viewed by chairs and program committee members to which the submission was assigned

Please note that chairs can change visibility at any time. For example, chairs can make a file upload field initially only visible to chairs and later open it to all program committee members.

Make a submission file upload field to apply to some tracks (in a multi track model)

To make a file upload field to be used only in some tracks, superchairs should do the following:

  1. Access the configuration by selecting menu tabs "Administration -> Configure";
  2. click to edit the option "File upload fields in the submission form";
  3. click on the "Edit" icon against the field you would like to update;
  4. set "Applies to all tracks" to "no".

Superchairs will then be able to select the tracks for which this field will be used.

Track chairs cannot edit the submission form. If a track needs to have some track-specific fields, the track chairs should request a superchair to edit these fields.

Chairs can change the visibility of file upload fields for reviewers. To do so,

  1. Access the configuration by selecting menu tabs "Administration -> Configure"
  2. click to edit the option "File upload fields in the submission form"
  3. click on the "Edit" cell against the file upload field
  4. update the option "hide from subreviewers"

The default value of this option is "no".

Please note that chairs can change visibility at any time. For example, chairs can make a file upload field initially hidden and then visible.

Visibility of submission file upload fields for subreviewers

Chairs can change the visibility of file upload fields for reviewers. To do so,

  1. Access the configuration by selecting menu tabs "Administration -> Configure"
  2. click to edit the option "File upload fields in the submission form"
  3. click on the "Edit" cell against the file upload field
  4. update the option "hide from subreviewers"

The default value of this option is "no".
